Codex Bot answers questions from your own SOPs and recipes – instantly, accurately, 24/7. No more interrupting the manager mid-service to ask how to plate a dish or what the closing procedure is.

What the Codex Bot Can Answer

The Codex Bot only answers from your restaurant's own Knowledge Base. It does not pull from the internet or guess. If the answer exists in a recipe or SOP you have access to, the bot finds it. If it doesn't, it says so clearly.

Example Question
"How do I plate the salmon entrée?"
"What's the closing procedure for the bar?"
"What allergens are in the mushroom risotto?"
"What are the portion sizes for the lunch menu?"
"How do I operate the commercial dishwasher?"

Staff don't need to know which document contains the answer – just ask the question.

How to Ask the Bot a Question

  1. Tap Codex Bot from the home screen or Knowledge Base section
  2. Type the question in plain language – no special commands or keywords needed
  3. The bot searches your Knowledge Base and responds instantly
  4. If the answer references a specific recipe or SOP, the bot shows which document it came from
  5. Tap the source to read the full recipe or SOP if you need more detail

What a Good Answer Looks Like

The quality of the bot's answers depends entirely on the quality of the content in your Knowledge Base. Here's what the difference looks like:

Staff AsksWeak KB → Bot AnswersStrong KB → Bot Answers
"How do I plate the salmon?""Place on plate and garnish""Fillet at 2 o'clock. Sauce dots along the left rim. Microgreens at 11 o'clock. Lemon wedge on the side."
"What allergens in the risotto?""Contains dairy""Contains: Dairy (parmesan, butter). No nuts, no gluten. Always confirm with guest before serving."
"How do I close the bar?""Clean and lock up""Step 1: Remove all garnishes and store in labelled containers. Step 2: Empty ice wells and dry thoroughly..."
The Formula

Detailed SOPs and recipes = specific, useful answers for your team. Vague or thin content = vague, unhelpful answers. The Codex Bot is only as good as what you put in.

Access-Aware Answers – The Bot Only Shares What You're Allowed to See

The Codex Bot fully understands access settings. It will only answer questions using content that has been explicitly shared with the staff member asking.

  • A new hire won't get answers about the head chef's signature sauce unless it's been shared with them
  • A front-of-house server won't receive back-of-house batch prep answers unless they've been given access
  • Owners and Managers can ask the bot anything within their access level
  • Your confidential recipes, proprietary preparations, and sensitive operational procedures are only visible to the people you choose
Access Management Drives the Bot's Behaviour

When you set up access on each recipe and SOP, you're also controlling what the Codex Bot can and cannot tell each member of your team. This is why getting access settings right from the start matters – it protects your intellectual property automatically.

What the Bot Can't Answer

The bot will clearly tell a staff member when it can't find an answer. This happens when:

  • The topic hasn't been added to the Knowledge Base yet
  • The staff member doesn't have access to the relevant content
  • The existing content doesn't cover the specific question in enough detail
A Gap in Answers Is a Signal

When a staff member can't get an answer from the bot, it means that content needs to be added or improved. Staff should let their manager know when this happens. Managers should treat it as a prompt to update the Knowledge Base – not a problem with the technology.

For Owners & Managers – Getting Better Answers

If staff are getting vague or unhelpful responses from the bot, the fix is almost always in the content:

  1. Go to the relevant recipe or SOP in the Knowledge Base
  2. Add more detail – specific instructions, exact quantities, step-by-step breakdowns
  3. Save – the bot uses the updated content immediately, no reconfiguration needed
The Payoff

The Codex Bot is the most efficient way for your team to access your standards. The more you invest in your Knowledge Base content, the less time managers spend answering the same questions on the floor. One well-written SOP, saved once, answers the same question for every staff member on every shift – forever.
